booster club committees
The following is a listing of committees that have been tasked with coordinating the various activities that the baseball booster club has determined would be beneficial to the mission of the Pine Creek High School baseball program. It is recommended that, in addition to the chairperson, each committee have at least 2 additional members to assist in taking on the responsibilities of the committee. The chairperson will be the direct point of contact with the booster club board .
1) Fundraising Committee
Chairperson: Brian Maecker
Responsibilities:
- Coordinate all fundraising activities for the club, including those of the snack bar, finals packages, spirit wear, and program committees
- Work with the Program Committee to determine the appropriate sponsorship levels and the corresponding ad sizes for the program and banners
- Research and propose various fundraising activities
- Coordinate and schedule the various fundraising activities
- Work with the treasurer to ensure funds are being collected
- Ensure that the fundraising permission request form has been submitted to the Athletic Director’s secretary and signed by D20.
- Report activities to the booster club via the monthly meeting and website via the communication committee
2) Grounds / Facilities Committee
Chairperson*: Todd Skrdlant
Members: Bob Underhill, Steve Mathis
Responsibilities:
- Support the Head Coach
- Research and propose items to improve the program and facilities
- Maintain a list of potential projects
- Ensure recurring items are on the list (e.g., Turface)
- Ensure non-recurring items are on the list
- Ensure future planning items are on the list
- Ensure all tasks on the list are prioritized
- Ensure all items on the list have estimates
- Schedule Field Day activities and broadcast events via email and the website
- Mowing / weeding
- Maintenance
- Snow removal
- Report activities to the booster club via the monthly meeting and website via the communication committee
- Monthly field and shed inspection
- Report activities to the booster club
*The chairperson should be approved by the Head Coach.
3) Banquet Committee
Chairperson: TBD
Responsibilities:
- Work with the district to secure the PCHS cafeteria for the desired date for the banquet
- Secure the appropriate audio / visual equipment
- Research various options for catering the banquet. Select a caterer that has donated to the booster club for that season
- Coordinate the food delivery from the chosen caterer
- Coordinate collection of payment from families
- Create the banquet agenda / program and print it out for distribution at the banquet
- Purchase gifts for coaches / VIPs
- Report activities to the booster club via the monthly meeting and website via the communication committee
4) Snack Bar Committee
Chairperson: Angie Hesselberg
Responsibilities:
- Keep inventory of all items
- Stock and replenish necessary items
- Coordinate times for workers
- Work with treasurer on collection/disbursement of funds
- Research and make recommendations on items that might generate higher profit margins for the club
- Report activities to the booster club via the monthly meeting and website via the communication committee
5) Spirit Wear Committee
Chairperson: Dalerae Klein
Responsibilities:
- Research and select options for various spirit wear clothing and accessories that takes into account quality and price to maximize returns to the club
- Select vendor(s) that have sponsored the club
- Create an order form of available spirit wear to distribute via email, the website and printed handout.
- Collect payment from customers and coordinate payment to the club with the treasurer
- Place orders for spirit wear via the selected vendor(s)
- Ensure all orders are correctly delivered by the vendor(s)
- Ensure all orders are correctly delivered to customers
- Report activities to the booster club via the monthly meeting and website via the communication committee
6) Finals Packages Committee
Chairperson: Anne Underhill
Responsibilities:
- Research and select options for various finals packages goodies that takes into account quality and price to maximize returns to the club
- Create an order form for finals packages to distribute via email, the website and printed handout.
- Assemble the finals packages
- Collect payment from parents and coordinate payment to the club with the treasurer
- Coordinate with PCHS on when and where to deliver finals packages
- Report activities to the booster club via the monthly meeting and website via the communication committee
7) Program Committee
Chairperson: Andy Meng, Kurt Birky
Responsibilities:
- Research and make recommendations on various sponsorship levels and the corresponding ad sizes for the program and banners
- Create a timeline of ad sales and ad creative deadlines
- Create sales teams comprised of a chaperone parent(s) and players from all three teams that are assigned to sales territories.
- Coordinate the dates of program ad sales with the various sales teams.
- Receive all ad orders and payments and track transactions via spreadsheet
- Communicate with the advertiser to receive the ad artwork and deliver it to the designer
- Coordinate with the designer on the program layout and content
- Receive all ad creative from the designer and layout the ads using some industry standard desktop publishing software
- Deliver the final layout and ad creative in print ready format to the printer
- Coordinate the print deadlines with the printer
- Deliver the final programs to the club and sales teams for delivery to the advertiser
- Report activities to the booster club via the monthly meeting and website via the communication committee
8) Spring Training Trip Committee
Chairperson: Dave Warner
Responsibilities:
- Work with the head coach to determine dates / locations for the annual spring training
- Determine head counts of players, coaches and parents attending spring training
- Coordinate transportation to minimize transportation costs
- Research, select and negotiate hotel rooms and rates for players, coaches and family
- Schedule practice and game facilities in the spring training city
- Coordinate “extracurricular” activities such as Rockies games, and other entertainment
- Determine per player costs for spring training
- Coordinate collection of fees and deliver to the treasurer.
- Report activities to the booster club via the monthly meeting and website via the communication committee
